Job Purpose
The Administrative Assistant will provide essential clerical and administrative support to the Psychology Department. This role ensures smooth day-to-day operations by managing communications, scheduling, documentation, and coordination between students, faculty, and administration.
Key Responsibilities
The selected candidate will perform a variety of administrative tasks, including:
Communication & Support
Assist students with academic policies and procedures
Respond to phone calls and email inquiries
Act as the department’s help desk
Administration & Coordination
Organize files, records, and documentation
Schedule meetings, prepare agendas, and record minutes
Maintain departmental calendars
Data & Reporting
Enter requisitions and maintenance requests
Compile data and prepare reports
Maintain and update databases and records
Student & Faculty Support
Handle student inquiries and assist academic programs
Process administrative paperwork
Coordinate communication between faculty and departments
Event & Operational Support
Assist in organizing departmental events
Liaise with HR, finance, and procurement teams
Ensure compliance with university policies
Qualifications & Skills Required
- Candidates applying for this role should meet the following criteria:
- Bachelor’s degree in Business Administration, Office Management, or related field
- Strong organizational and time-management skills
- Excellent communication skills in English and Arabic
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Knowledge of data entry systems and Microsoft Access
- Familiarity with university systems (e.g., Banner, Fusion) is an advantage
- Ability to handle confidential information professionally
